This position is located in the Office of the Special Representative of the Secretary-General on Children and Armed Conflict (OSRSG-CAAC). The mandate and work of the Office derives from General Assembly Resolution 51/77 and subsequent General Assembly resolutions, as well as successive Security Council resolutions on children and armed conflict. The incumbent will report to the Senior Administrative Assistant, OSRSG-CAAC.Responsibilities
Under the supervision of Senior Administrative Assistant, the Staff Assistant will provide overall administrative support for the work of the Office, including:
• Performs, under minimal supervision, the full range of office management and administrative support functions of the Front Office of OSRSG-CAAC and provides back up to the Personal Assistant of the SRSG and Senior Administrative Assistant.
• Liaise with relevant departments/agencies, draft and edit planning schedules. Ensures smooth and efficient information flow within the unit, prepares and processes confidential information, assists in the development of office administrative systems and procedures.
• Researches, compiles and presents information for use in the preparation and production of reports, briefs, meetings and communications products.
• Participates in the planning and coordination of meetings and special events, prepare minutes and monitors follow-up activities.
• Carries out quality control function for outgoing documents, proofreads and edits texts for adherence for format, grammar, punctuation and style.
• Responds to information requests and inquiries and refers inquiries to appropriate personnel for action.
• Performs a variety of administrative duties, including review, record, distribute and process mail and other documents, serve as IT technical focal point, follow up on pending actions in electronic record keeping system, and preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, visa applications, etc.)
• Performs other duties as assigned.

High school diploma or equivalent is required.Work Experience
A minimum of five years of progressively responsible work experience in providing general office support or administrative services is required.
Experience using email applications such as Microsoft Outlook, Lotus Notes or similar is required.
Experience using Microsoft Office Word and Excel is required.
Experience in using ERP systems (such as SAP, UMOJA or similar) is desirable.
Experience using talent management platforms (such as People Soft, Inspira or similar) is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.Assessment

Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application. Staff members who were granted a fixed-term, continuing or permanent appointment as a result of having passed a predecessor test recognized by the Office of Human Resources Management, and who have continuously held such appointments, are not required to take the new test.
This position is temporarily available until 31 December 2020. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.
