The position is located in the Mobile Capacity Building Team of the Improvised Explosive Device (IED) Threat Mitigation Advisory Team (TMAT) of the United Nations Mine Action Service (UNMAS), Office of Rule of Law and Security Institutions (OROLSI) within the Department of Peace Operations (DPO). The Team Assistant of the Mobile Capacity Building Team will report to the P4 senior Programme Officer of the Mobile Capacity Building Team. The Mobile Capacity Building Team is located in Entebbe, Uganda.
Established in 1997, UNMAS leads, coordinates and implements all aspects linked to the mitigation of the threats from mines and explosive remnants of war. UNMAS operates under UN legislative mandates (UN General Assembly, UN Security Council etc.), requests by the UN Secretary-General or his designated official, mostly in response to a humanitarian emergency.

Within limits of delegated authority, the Team Assistant of the Mobile Capacity Building Team will be responsible for the following duties:
• Performs a wide range of office support and administrative functions.
• Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
• Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
• Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, training materials, meetings/conferences, etc.
• Generates a variety of standard statistical and other reports, work orders, etc., using various databases.
• Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
• Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling.
• Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.
• Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
• Assists in the preparation of presentation materials using appropriate technology/software.
• Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
• Performs data entry and extraction functions.
• Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
• Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc.
• Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
• Maintains files (both paper and electronic) and databases for work unit.
• Assists in providing software and office equipment support.
• Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc.
• Performs other duties as assigned.

High school diploma or equivalent.Work Experience
A minimum of three years of progressively responsible experience in general office support or related area is required.
Experience working in ERP (SAP) is desirable.
Experience with Microsoft Office 365 suite is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of French is desirable.Assessment

The Department of Peace Operations (DPO) is dedicated to assisting the Member States and the Secretary-General in their efforts to maintain international peace and security.
DPO provides political and executive direction to UN peacekeeping operations around the world and maintains contact with the Security Council, troop and financial contributors, and parties to the conflict in the implementation of Security Council mandates.
Peacekeeping is political and its ultimate success depends on active and sustainable political processes or the real prospect of a peace process. The Department works to integrate the efforts of UN, governmental and non-governmental entities in the context of peacekeeping operations. DPO also provides guidance and support on military, police, mine action and other relevant issues to other UN political and peacebuilding missions.
DPO traces its roots to 1948 with the creation of the first UN peacekeeping operations: UN Truce Supervision Organization (UNTSO) and UN Military Observer Group in India and Pakistan (UNMOGIP). Up to the late 1980s, peacekeeping operations were operated through the UN Office of Special Political Affairs. The official DPO was formally created in 1992 as the Department of Peacekeeping Operations (DPKO) when Boutros Boutros-Ghali took office as Secretary-General of the United Nations.

Office of Rule of Law and Security Institutions
The Office of Rule of Law and Security Institutions (OROLSI) supports rule of law components in United Nations peace operations and special political missions as they work with national authorities to protect civilians, extend State authority, re-establish law and order and stabilize conflict and post-conflict situations. OROLSI provides expertise and integrated guidance in the key areas of police, justice, corrections, security sector reform, mine action and the reintegration of ex-combatants into civilian life.
Office of Military Affairs
Office of Military Affairs (OMA) works to deploy the most appropriate military capability in support of United Nations objectives; and to enhance performance and improve the efficiency and the effectiveness of military components in United Nations peacekeeping missions.
Policy, Evaluation and Training Division
The Policy, Evaluation and Training Division (DPET) is mandated to develop and disseminate the policy and doctrine guiding the work of peacekeeping. In addition, the division has the responsibility to evaluate, at the request of the heads of the departments, how those policies are being applied, gather lessons learned and best practices, and use that information to guide the development, coordination and delivery of standardized training, so as to complete the learning cycle. DPET is also responsible for developing and maintaining strategic cooperation with various UN and external partners.
In addition, DPO shares with the Department of Political and Peacebuilding Affairs (DPPA) eight regional divisions that are managed by three Assistant Secretaries-Generals that cover the Americas, Europe, Africa, Asia and the Pacific.
