Background

Duties and Responsibilities

You would be responsible for: 

  • Provide support to the Country programme implementation by planning, budgeting, and monitoring processes, paying attention to detail and adhering to deadline
  • Facilitate incoming missions and administer travels for programme staff and partners in close coordination with the staff responsible for processing travel request, authorization and claims, according to the office’s trip planning. 
  • Maintain filing system for the Country Office programmes and projects. Drafts correspondences on programme-related issues in consultation with programme officers
  • Facilitate logistic support and security related issues for staff, UNVs and consultants.
  • Summarize information and draft contributions to reports, papers, technical notes, and prepares and maintains records documents and control plans for the monitoring of project/programme implementation.
  • Keep the Country Office informed by providing relevant information, reports or status updates.
  • Support the Assistant Rep and programme officers in organizing programme-related meetings and coordinates preparation of agenda and necessary documentation for meetings as well as workshops and conferences.
  • Make sure that each meeting related to programme is documented by meeting minutes and action plans are followed up. 
  • Support the logistics and financial aspects of the programme-related events, meetings, workshops, and advocacy activities in coordination with the operations team. 
  • Perform other support duties as required.

Required Skills and Experience

Completed secondary level education required. First level university degree in public administration, finance, or economics desirable.

Knowledge and Experience: 

  • 5 years previous relevant experience.
  • Previous experience in the UN an advantage.
  • Strong interpersonal and organizational skills.
  • Computer literacy - Word, Excel, Power-point, etc.
  • Good knowledge of Quantum or other ERP system.
  • Good writing and communication skills.
  • Demonstrated ability to work in a team environment.

Languages: 

Fluency in Portugues, working knowledge in English; knowledge of other official UN languages and/or local language of the duty station is desirable.
